International Trade Services

1.Introduction

1.1 We provide technical enquiry support and inspect export documents such as Certificates of Origin and Movement Certificates for those who trade internationally. Full details of this service are available on Import & Export

Furthermore we also provide/offer support and act as a Direct Representation when it comes to customs declarations. Separate Terms & Conditions are generated for this service when onboarded via ChamberCustoms Ltd.

1.2 Export Documents & Customs.

1.2.1 We provide these services to both members and non-members.

1.2.2 We provide two types of service: standard and express. These are as follows:

(a) With Standard service you can apply for documents online. Once approved and issued, documents will be returned to you via first class post. On request, you can collect them from our office and same can be scanned to you.

(b) Express service: you can apply for and have documents issued online. We will then endeavour to review express applications within 1 hour of receipt. Note there may be delays if third parties are required to be contacted in order to process the application. There is no limit on the number of express certificates that can be purchased. Additional fees apply.

1.2.4 Members of Inverness Chamber of Commerce and affiliated Chambers get reduced rates on their Documentation & Certification services.

2. Fees and charges

2.1 The cost of the documents (unless express service is required) will be charged at standard rates. We will confirm the price payable on application, and fees charged are non-refundable. Any discounts can be inquired at the initial registration process.

2.2 Terms of payment

2.2.1 Payment is due 28 days from the date of invoice, unless agreed separately or expressed differently in writing.

2.2.2 There may be further charges incurred depending on the type of Documentation applied for or the service required. For example full service with extra copies or invoice to be legalised or for arranging direct postage of documentation to overseas customers via the Post Office. Extra charges incurred will be passed onto the customer in writing in the form of an invoice. Unless we agree otherwise, we will require full payment of these fees within the outlined time period.

3. Obligations

3.1 The customer acknowledges that the International Trade Team depends on the information they have provided & it is said to be fully accurate, relevant and not misleading.

3.2 Furthermore, in order to progress with application for Documentation customer is required to complete a Formal Undertaking with a list of signatories. 3.2.1 To continue to receive service this Formal Undertaking must be renewed annually. If there has been any staffing changes within the organisation, the customer must notify the International Trade team for an updated Formal Undertaking to update this promptly.

4. Rejection

4.1 Where information given is incorrect or incomplete we reserve the right to reject the application or refuse to provide service as outlined in the British Chamber of Commerce Standard Rules. Import & Export

4.2 For any errors made within applications/ Documentations already issued we reserve the right to charge for a fresh application re-submitted by the customer for consideration.

5. Data Protection

5.1 At Inverness Chamber of Commerce we take your privacy seriously and want to ensure transparency around how we use your details, and how we protect it.

The GDPR aims primarily to give control to citizens and residents over their personal data. “Personal Data” is any information related to a natural person or ‘Data Subject’, that can be used to directly or indirectly identify the person. Although Inverness Chamber is a business to business membership organisation we do have to process personal data, such as the name and email addresses of staff within a member business.

By proceeding to register with the Inverness Chamber of Commerce and accepting delivery of the International Trade services and support described on the invoice, customer agrees to be bound by and accepts these terms and conditions and shall be liable for any expenses.
